Tour Partner Group are seeking an Operations & Client Relations Executive to join the team and help ensure clients from Spanish speaking markets have the best possible holiday experience in the UK and Ireland, to act as the main contact for clients and suppliers from the point of enquiry to the tour’s completion. The role is available for their London and/or Dublin office.
Key responsibilities include:
- Understanding and developing a strong commercial relationship with clients
- Creating and preparing itineraries and quotations for groups, within an agreed timeframe and in agreed presentation style, with the aid of Tourplan
- Costing tours with prices from contracted hotels, events and experiences
- Preparation of tours, generating bookings in Tourplan and requesting services to suppliers
- Checking itineraries (feasibility & conformity with clients’ publication) and booking and planning all services accordingly
- Administration of group bookings including handling amendments, cancellations, sending rooming lists and dealing with additional client requests
- Distributing all necessary information to all partners to ensure tours run smoothly from start to finish
- Negotiating and renegotiating rates with suppliers such as hotels, tour guides and coach companies
- Issuing the correct documentation (vouchers, travel documents) on time
- Invoicing of clients and processing supplier invoices
- Providing 24-hour emergency assistance to customers
- Placing and negotiating groups with hotels as require
- All aspects of margin protection/enhancement, and cost of sale reduction
- Liaising with clients in sales support and itinerary development where necessary
- Flexibly supporting team members of the same region (and other regions where required)
The successful candidate will have:
- Experience in group and FIT operations
- Fluency in English and Spanish (written and spoken)
- Good knowledge of destinations in the UK and Ireland
- Understanding of the Spanish, Portuguese and LATAM markets would be a bonus
- Strong communication skills
- Good literacy, experience of Tourplan is an advantage
- A positive attitude and good problem solving skills, detail orientated and client focused
- Ability to be an effective team player
